Administrative Assistant

Title: Administrative Assistant

Job Type: Full-time

Compensation: Competitive Salary, benefits package, professional development opportunities

Location: Pittsford, NY

Education: Bachelor’s Degree Preferred

Reports to: Operations Manager

Summary: Seeking a dedicated and motivated team member to work in a collaborative environment in our office. This person will perform a wide range of administrative and support activities to ensure the firm operates at an optimal level. We value self-starters with a drive to continuously acquire skills and knowledge that will allow for growth and longevity with our firm.

Responsibilities Include (but are not limited to):

  • Assist with the on-boarding of new clients
  • Collect, scan and file client forms
  • Use CRM to manage the on-boarding process
  • Assist with client requests
  • Supply clients with reports, paperwork, statements when asked
  • Coordinate and maintain firm calendars
  • Schedule client reviews
  • Open, screen and route incoming mail
  • Scan and digitally file incoming and outgoing correspondence
  • Assist with all aspects of firm events
  • Make travel reservations
  • Monitor and maintain office supplies
  • Answer incoming calls
  • Assist with client and prospect communications
  • Monitor and communicate IT issues/ equipment maintenance with IT firm
  • General office duties as assigned

Qualifications:

  • Proficient in Word, Excel, Outlook, Salesforce/ CRM
  • Excellent written and verbal communication skills
  • Balance and prioritize tasks assigned
  • Team player with ability to problem-solve, and think outside the box
  • Detail oriented
  • Self-starter with ability to work independently
  • Handle confidential matters with discretion
  • Abide by the Code of Ethics outlined by the CFA Institute
